Stevenson University Streamlines Accepted Student Flag Mailings with Slate Integration

Challenge: Creating a Faster, More Efficient Accepted Student Outreach Process 

For Stevenson University, accepted student outreach needed to happen quickly and consistently to keep admitted students engaged during the enrollment journey. Since 2021, Stevenson has partnered with Magellan to create an accepted-student flag mailing that helps students celebrate their admission and take the next step toward joining the campus community.

In previous years, the mailing process required Stevenson to manually send student lists to Magellan each week. While the approach worked, the ongoing coordination added extra steps for the admissions team and created an opportunity to make the workflow more efficient.

Solution: Connecting Accepted Student Mailings with Slate Automation

Magellan worked with Stevenson to enhance the accepted student flag mailing by integrating the project with Slate, the university’s CRM. Each time a student is admitted, the Slate custom query triggers a push to Magellan with the student’s name and address. This allows the mailing workflow to become automated, eliminating the need for weekly manual list transfers between Stevenson and Magellan. 

The full mailing package was designed to deliver a memorable experience while keeping production costs in mind. A clear mailer showcases the Stevenson flag while helping reduce materials and postage costs. An insert card encourages students to take the next action by highlighting upcoming event dates and opportunities to connect with Stevenson.

Outcome: Building a More Efficient Student Engagement Workflow

By connecting the mailing process directly with Slate, Stevenson created a streamlined system that automatically sends updated student information to support timely outreach.

The Slate integration transformed the accepted student flag mailing from a manual weekly process into an automated workflow. The insert cards also help Stevenson promote Accepted Students’ Days earlier, ensuring students have event information sooner in the enrollment journey. 

The improved workflow gave Stevenson’s team more time to focus on other important responsibilities and engage with campus visitors.

Variable Data Best Practices

  • At the quoting stage of your project, please let us know how many fields of variable data your piece will have as this can affect pricing.
  • Data should be provided to us as an Excel spreadsheet with only the applicable data included.
  • Verbiage for variable data fields on artwork file should match up exactly with data fields on spreadsheet.
  • Spacing on artwork must allow for longest data entries. We recommend that your designer tests this in advance to confirm that the fields in the design can fit your longest pieces of data.

Postage Permits

We are happy to mail using a client’s USPS non-profit number. Here are a few best practices for this to go smoothly. Let our team know up front on the project so we can make sure to get the information we need right away. 

While our mail house does prefer to use their permit number for the mailing, we can use the client’s permit, If using their permit number, ensure there is enough postage to cover the mailing.
